JOB REQUIREMENTS: JOB ID: 20840 JOB TITLE: HR Coordinator JOB DETAILS: JOB DUTIES: Reporting to the Deputy Chief Human Resources (HR) Officer, this position is responsible for a wide range of office coordination and support functions for the Human Resources Office (HR) including instruction and supervision of students. This position is responsible for information that comes in and out of the HR office in addition to having access to highly sensitive, confidential information, records, and other documents. The HR Office Coordinator must demonstrate exceptional customer service by establishing and maintaining effective professional relationships with managers, supervisors, coworkers, and all internal and external customers in addition to maintaining confidentiality of sensitive information with tact and discretion. The HR Office Coordinator must use effective team skills to contribute to the efficient operation of the work unit, present ideas, carry out assignments, and provide information as required. RESPONSIBILITIES: A. Plan, Provide, and Coordinate Administrative Assistance to the HR office 1. Oversight and manage the HR Front Office, including main phone line and in person visitors. 2. Assist in the preparation of sensitive and confidential correspondence, reports and memorandums. 3. Respond to routine questions from job applicants, employees and students regarding current employment opportunities, application procedures and deadline, human resources policies and procedures. 4. Coordinate incoming and outgoing mail processes for the HR Office. 5. Coordinate schedule and reserve rooms for professional development sessions. 6. Provide administrative support to Professional Development Coordinator by developing presentations and handouts and other correspondence as needed. 7. Send surveys to professional development participants and calculate results for review. B. Supervise and Support HR Student Staff 1. Coordinate the recruitment of student workers in the HR Office, provide work instruction, and oversee tasks for accuracy, training and development of the student workers. 2. Serve as the supervisor for all HR Student Assistants, including their workload and schedules. 3. Oversee student work assistance to HR Staff. 4. Take the lead in establishing administrative support procedures and workflow within the HR office. 5. Lead and direct student employees on procedures, deadlines and standards for completing projects. C. Management and maintenance of employment related records: Coordinate the imaging process. Maintain I-9 forms, personnel files, and other records in accordance with federal law and state and campus retention policies. 1. Scan and link documents; forward to appropriate queue. 2. Provide imaging training and assign imaging duties to students. 3. Provide guidance and training to other departments and campuses on the imaging process and equipment. 4.
