    TITLE: High School Guidance Secretary DEPARTMENT: High School Building REPORTS TO: Building Principal and/or Assistant Principal RECEIVES GUIDANCE FROM: Building Principal and Superintendent’s Administrative Assistant/Registrar BASIC FUNCTION: Performs a variety of clerical, secretarial, and other administrative assistant functions required for the smooth operation of school and/or district sites.. QUALIFICATIONS: Required:

  • Able to communicate and interact effectively with the external and internal public.

  • Demonstrates exceptional customer service skills.

  • Able to adapt to and work effectively in a fast paced environment with a variety of situations, individuals, and groups. Requires command of detail, accuracy, organizational skills and the ability to handle multiple tasks and demands.

  • Demonstrates integrity and respects confidentiality.

  • Able to problem-solve and carry out assigned tasks with minimal supervision.

  • Experience working with computer and office technology.

  • High school diploma or equivalent required, training commensurate with position desired.

  • Prefer experience with student management systems, specifically Infinite Campus.

  • Enhances the administrative procedures of the district and/or the building by serving in a liaison capacity between the principal, counselors, parents, students, and staff. Conveys information about rules, regulations, policies, and laws and addresses standard inquiries.

  • Responsible for implementing and maintaining all guidance and school recordkeeping systems. Uses both technology and manual filing systems which allow for efficient collection, retention and retrieval of information.

  • Manages and ensures use of all district and building forms (e.g. purchase orders, mileage claims, timesheets, evaluation forms, rosters, etc.)

  • Prepares, creates and composes documents (e.g. letters, reports, bulletins, etc.) using technology and appropriate software such as Word, Excel, Power Point, etc.

  • Compiles information to generate building, district, and state reports.

  • Provides site support by ensuring that appropriate calendars of activities are maintained for the site assigned, assists in development of office procedures, insures appropriate security and safety methods are employed, orders supplies and equipment, etc.

  • Assists other office personnel for the purpose of supporting them in completion of necessary work tasks.

  • Performs duties, as assigned by supervisor, including but not limited to:

  • Serves as support for student management system (Infinite Campus).

  • Updating Special Education documentation in Infinite Campus monthly and as needed

  • Compiles information to generate building, district, and state reports. Works with various district personnel to complete state reporting.

  • Provides site support by ensuring that appropriate calendars of activities are maintained for the site assigned, assists in development of office procedures, insures appropriate security and safety methods are employed, orders supplies and equipment, etc.

  • Completing daily attendance tasks for the building

  • Reconciling associate time sheets

  • Sending out attendance letters

  • Uploading student documentation in Infinite Campus

  • Sending and receiving records requests

  • Updating social media platforms

  • Sending messages via infinite campus

  • Collaborating with administration and teachers to complete building grading tasks

  • Performs other duties as assigned by supervising teacher or building principal.

    Terms of Employment: Wage and work year to be established in accordance with provisions of the Comprehensive Agreement. Evaluation: Performance of this job will be evaluated in accordance with provisions of the Comprehensive Agreement. Physical Requirements: Bending, carrying, climbing, travel between job sites, lifting, pushing-pulling, reaching, sitting, standing, and walking Working Conditions: Includes extremes of temperature and humidity. Hazards include stairs and communicable diseases.
